Who handles your information

Your enquiry

We collect your name, email address and message to answer your enquiry and keep a record of our conversation. Project enquiries also let you provide your company, service interest, budget and timing. We record the enquiry type, the button used to open the form and the website page it came from. Please avoid including sensitive personal information.

We rely on the consent you give using the enquiry checkbox to handle your enquiry. You can withdraw that consent at any time by emailing us. This does not affect processing that was lawful before you withdrew it. If you prefer, you can contact us directly by email.

Submitting an enquiry does not subscribe you to a newsletter or other marketing emails. If the enquiry becomes client work, we will explain any additional use of your information and the relevant lawful basis separately.

Your newsletter subscription

If you choose to sign up, we collect your email address and any name you provide to manage your subscription and send Oatlee Digital news, insights and updates. HubSpot records your signup time, source page and the newsletter consent you give. We rely on that explicit consent; the checkbox starts unticked and is separate from enquiry consent.

You can withdraw newsletter consent at any time using the unsubscribe link in our emails or by contacting hey@oatleedigital.com. We keep your subscription details while subscribed. After withdrawal, we retain only the suppression and consent records needed to respect your choice and handle relevant requests; we review their necessity regularly. Unsubscribing does not change any separate client relationship.

Spam protection and service providers

We use HubSpot to receive and manage enquiries and newsletter subscriptions, and Cloudflare to host this website and protect our forms with Turnstile. Enquiry notifications may also be delivered to our Google Workspace email account. Access is limited to people and providers who need it to handle enquiries or operate these services.

Turnstile processes technical signals, including browser, device and network information, to distinguish genuine visitors from spam. We rely on our legitimate interests in keeping the website secure and usable for this necessary security processing. Our forms do not load HubSpot visitor-tracking or advertising scripts, and we do not send a visitor-tracking cookie to HubSpot.

Our providers may process information outside the UK, including in the United States. Their data-processing terms provide transfer safeguards such as applicable adequacy frameworks and standard contractual clauses with the UK Addendum. How long we keep enquiries

We keep an enquiry while handling it, then delete closed enquiries that did not become client work within 12 months of our last substantive response. This applies to the enquiry record and notification copies. We review these records regularly. If information must be retained for a specific legal obligation or dispute, we keep only what is necessary for that purpose and period.

Your rights

You can ask to access or correct your information, withdraw consent, or request deletion or restriction where the relevant rights apply. You can object to processing based on legitimate interests. You may also have a right to receive information you provided in a portable format where we process it by automated means on the basis of consent or contract.
